A digital membership card for your gym or studio

Fidelia puts a membership or class-pack card in your members' Apple Wallet or Google Wallet. Staff scan it at the door for a check-in, and you keep your own booking and billing system.

By The Fidelia team

A gym or studio does not lose members on the day they cancel. It loses them quietly, in the weeks when they stop showing up. The best predictor of a cancellation is an empty calendar, so the card here is built around visits: a check-in that takes two seconds at the door, a perk for showing up, and a pack of classes that gets used instead of forgotten.

What can you reward?

Gyms rarely give things away, so rewards are about status, extras and keeping a habit going.

  • 10A free guest passRewards ten visits and brings in a friend who may sign up.
  • 8A free protein shake or smoothieFor gyms with a juice bar or a small shop.
  • 20A free personal training intro sessionA reward for regulars, and a way to introduce the paid service.
  • 12A free class for the next monthA lift for members whose visits are dropping.

Example calculation: a member who trains twice a week visits about 8 times a month. A guest pass worth 150 kr that you reward at 10 visits costs you very little if the studio is not full, and may convert a friend to a member. These are example figures; use your own prices and capacity.

Stamp cards can have between 3 and 30 stamps. Changing the number affects only new cards.

Which card type fits a gym or studio?

Fidelia has several card types, and a gym can use more than one.

  • Membership card (Pro). You set a discount in percent, a perk and a validity of 1 to 24 months, or none. The pass shows “Member”, the perk and the end date. Staff tap Check in when the member arrives, and Renew when they pay again. You can choose whether everyone who joins becomes a member at once, or only after staff tap Activate.
  • Pack card (Pro). For class packs, from 3 to 30 classes. The card shows “Not active yet” until the member has paid and staff tap Activate, then staff tap Use 1 at each class. The pass shows how many are left.
  • Stamp card (Essential). One stamp per visit, a reward at the end. The simplest way to start rewarding attendance.
  • VIP levels (Pro). Levels by number of visits, with a perk at each, for example priority booking or a free towel service.

Several cards at once is a Pro feature, so a studio can offer a membership card for subscribers and a pack card for drop-in visitors.

How does check-in work at the front desk?

Scan the member’s pass on arrival. The scanner shows the name and status, for example “Karin · Member · valid until 30 June”, and records the visit. The pass on the phone updates within seconds.

  • Staff: each person logs in with a PIN, and every check-in records who scanned it, on which device and at which location.
  • One check-in per visit: the cooldown protects against repeat scans. You can lengthen it so one member checks in once per day.
  • Mistakes: the owner or a manager corrects the card in the dashboard with Adjust stamps; the reason and who made the change are logged.
  • Reward ready: the pass shows it, and the member gets a lock-screen notification.

The scanner needs internet, so use the studio Wi-Fi. If your front desk is unstaffed at off-peak hours, check that your set-up suits you before relying on scanning alone.

Seasonal and occasion ideas

  • January: the new-year rush. Add every new member to the card in week one.
  • After Easter and before summer: the “get ready for summer” push.
  • Midsommar and July: the quiet weeks, when a visit reminder matters most.
  • August and September: the return after the holidays, and a good time for a challenge.
  • November: dark afternoons, when habits slip. A short reminder helps.
  • December: a gift of a class pack for the person who has everything.

What to send by push or e-mail

Push messages (Pro) show on the lock screen and only reach customers who opted in to news. Keep them useful and rare. Examples:

  • Example · title: “New class on Thursday” · message: “Beginner yoga at 18:00, limited spaces. Book through your usual channel.”
  • Example · title: “Two classes left” · message: “Your pack has 2 classes left. Use them before the end of the month.”
  • Example · title: “We have missed you” · message: “Come in this week and show your card for a free guest pass.”

E-mail idea: a monthly note with the new timetable and one tip from a trainer, sent from the studio’s own address. Replies land in an inbox in your dashboard.

Common objections

“I already have a booking and billing system.” Keep it. The card does not replace it. It records visits and packs and sits in the member’s Wallet.

“Members will not want another app.” They do not need one. The card goes into Apple Wallet or Google Wallet, or opens as a web card if they have neither.

“Check-in at the door is too much for the front desk.” One scan, two seconds, and a staff PIN for each person.

“I do not want to hold prepaid money.” Then use a stamp card or membership card only. A pack card means you receive payment up front, and you need to follow the prepaid rules.

What does it cost?

Essential costs 299 kr a month excl. VAT for one location with a stamp card, unlimited customers and scans, the scanner for your whole team and your first QR stand. Pro, at 599 kr a month, adds the membership card, pack cards, VIP levels, push messages, e-mails and several cards at once, with a 14-day free trial.

Questions

Does Fidelia handle membership payments or bookings?

No. Fidelia does not bill your members or manage bookings. Keep your own system for that. The card is a Wallet pass for check-ins, perks and packs, scanned by your staff.

Can I sell a ten-class pack?

Yes, with a pack card on Pro (599 kr a month). You choose the number of classes, from 3 to 30. The member pays you, staff tap Activate, then Use 1 at each class. Prepaid money is held in advance, so check the rules with your accountant.

What happens when a membership ends?

On the membership card you set a validity of 1 to 24 months, or none. When it ends the pass shows it, and staff tap Renew when the member pays again.

Can I stop one person from checking in several times a day?

Yes. A check-in cooldown applies and you can change it, for example to several hours, so one member gets one check-in per visit.
