Studios and small gyms live on repeat visits more than any other trade: a yoga student who comes twice a week for a year is worth far more than ten drop-ins. The risk is quiet churn. Someone misses two weeks, then a month, and never comes back. Most studios already sell 10-class cards on paper or in a spreadsheet. Fidelia moves that pass into the member’s phone, counts each visit, and gives you a way to reach the people who have stopped turning up.
What to reward, and after how many stamps?
For a studio, the most valuable reward is often a free class: an empty spot on the mat costs you almost nothing.
- 10A free drop-in classFor drop-in clients who don't buy a pack.
- 8A free smoothie or protein shakeA separate stamp card for your bar.
- 12A free class for a friendBrings a new face to the studio.
- Branded water bottle or towelA perk for a VIP level, for example at 50 classes.
Example calculation. A drop-in class costs €15. After 10 drop-ins, the client has spent €150 and gets one class free. If the class is not full, the extra person costs you close to nothing: the teacher and the room are paid for anyway. Even counted at full price, the reward is 10 % of their spend. A smoothie that sells for €5 and costs you €1.50 in ingredients, after 8 smoothies, is under 4 %. These are example figures.
A stamp card holds between 3 and 30 stamps. Changing the number later only affects new cards; running cards keep their rule.
Which card type fits a gym or studio?
This is the trade where Fidelia’s other card types matter most. Stamps are on Essential; packs, memberships and VIP levels are on Pro.
| — | Pack | Membership | Stamp card |
|---|---|---|---|
| Plan | Pro | Pro | Essential |
| What it replaces | The 10-class card | The monthly or yearly subscription card | A loyalty card for drop-ins or the bar |
| At the desk | Activate once paid, then Use 1 per class | Check in each visit, Renew when it expires | +1 per visit |
| Fits | Yoga, pilates, dance studios | Boxing clubs, CrossFit-type boxes, gyms | Drop-in classes, smoothie bar |
Pack card (Pro): a 10-class pass (carte 10 séances, beurtenkaart) paid up front. The card shows “Not active yet · pay at the counter” until staff tap Activate after payment. Each class is one “Use 1”, and the member sees what is left on the pass. When it runs out, “Sell a pack” adds a new one.
Membership card (Pro): a discount and/or perk with a validity of 1 to 24 months, for example a 3-month or 12-month membership. Staff activate it after payment, then “Check in” at each visit, and “Renew” when it expires. The cooldown stops a double check-in.
VIP levels (Pro) by number of visits reward commitment: a level at 50 classes, another at 150, with perks listed on the back of the pass. The scanner shows “New level”, which is a nice moment to congratulate someone after class.
Several cards (Pro) let you run a pack card and a smoothie stamp card side by side.
How does stamping work during the rush?
The rush in a studio is the ten minutes before a class, when fifteen people arrive at once, and right after it, when the next group comes in.
- Put a tablet or phone at the reception desk, logged in with a staff PIN. In a studio with no desk, the teacher can scan from their own phone with a staff login.
- Members hold up their pass as they come in. One scan does a “Use 1” on their pack or a check-in on their membership, and shows their first name and what is left.
- The cooldown (5 minutes by default, adjustable) stops a member from being checked in twice for the same class.
- A wrong scan is corrected by the owner or a manager in the dashboard with Adjust stamps; the reason and who made the change are logged.
- The scanner needs internet. Basement studios with poor signal need Wi-Fi at the desk.
Seasonal and occasion ideas
- January: New Year’s resolutions. Your best month for new packs and memberships.
- Before summer: May and June, people want to get in shape for the holidays.
- July and August: quieter months, holiday schedules and summer classes.
- September: la rentrée. Back to routine, the second big wave of the year.
- Exam periods (January and June): students drop off; an exam-time yoga or stretching class can keep them.
- December: quieter weeks, a good time to promote packs as gifts, keeping the accountant’s advice above in mind.
What to send by push or e-mail
With Pro, push messages appear on the lock screen through the Wallet pass. Only members who ticked the news box receive them. Examples:
- Title: “New schedule from Monday” Message: “Two new morning yoga classes at 7:00 and a Saturday mobility session. Check the full schedule at the desk or on our website.”
- Title: “We haven’t seen you lately” Message: “Your mat is waiting. Come to any class this week, and if you need a lower-intensity restart, ask us for a beginners’ session.”
- Title: “Holiday hours” Message: “From 24 December to 1 January we run a reduced schedule. Classes start again as normal on 2 January.”
The “not seen in 30 days” audience fits a studio well: weekly regulars who have gone a month without a visit are the ones to reach. Send them one friendly message, not a series.
E-mail idea: in late December, an e-mail with the January schedule, the new beginners’ course and your pack prices, using the event template. Replies land in your dashboard inbox.
Studios in Brussels often teach in English, French and Dutch. Write messages in all three if your members mix; each gets the version for their phone language.
Common objections
“We already use a booking app.” Fidelia is not a booking system and sits next to yours. If your booking app already handles packs and memberships well, you may not need us. Fidelia makes sense if your packs are still on paper, or you want the pass in the member’s wallet with lock-screen messages.
“We need turnstiles or door access.” Fidelia does not do access control. It works at a staffed desk or with a teacher who scans.
“People forget to show their pass.” The pass is on the lock screen of their phone, which they already carry. Staff can greet them by name from the scanner screen, which makes the check-in part of the welcome.
What does it cost?
Essential, at €29 a month excl. VAT, covers a stamp card for one location: enough for a drop-in loyalty card or a smoothie bar. Most studios will want Pro, at €59 a month, for packs, memberships, VIP levels and messages to members who drift away. A second studio costs €19 a month. Try Pro free for 14 days; early Belgian merchants can keep the founding price of €19 a month for life.
