A digital loyalty card for your beauty or nail salon

Fidelia gives your beauty or nail salon a loyalty card in your clients' Apple Wallet or Google Wallet. You stamp each appointment at reception, sell treatment packs if you want, and a free nail art or brow tint unlocks by itself.

By The Fidelia team

Beauty clients come back on a rhythm set by the treatment: nail infills every 2 to 3 weeks, lash refills every 3 to 4, facials once a month, waxing every 4 to 6 weeks. That rhythm is your income. When a client skips one refill and tries the studio near her office, the habit can move with her. A loyalty card that rewards the rhythm, plus the option to sell treatment packs, keeps the next appointment with you.

What to reward, and after how many stamps?

Reward something that fits the next appointment and doesn’t eat a whole time slot.

  • 6Free nail art on your next infillA few minutes of work, visible result.
  • 5Free brow tintAfter 5 lash refills: quick to add to the same appointment.
  • 5A hand or foot mask with your treatmentFeels like a treat, low product cost.
  • 8A product from your shelfA cuticle oil or a serum, at your purchase price.

Your cost is product plus time. An example calculation: nail art takes 10 minutes and maybe €1 in product. A client paying €40 per infill has spent €240 after 6 visits. Ten minutes of your time and €1 of product is small next to that. A free full infill, on the other hand, is a 60-minute slot you could have sold.

Cards can hold between 3 and 30 stamps. For nails and lashes, 5 or 6 works; for monthly facials, 5 is already five months. Changing the number later only affects new cards.

Which card type fits a beauty salon?

The stamp card is included in Essential and covers the simple case: one stamp per appointment.

Beauty salons are where the other card types on Pro make the most sense:

  • Pack card: the classic treatment package, for example 5 facials or 6 laser sessions paid up front. The card shows “Not active yet · pay at the counter” until staff tap Activate, then Use 1 per treatment. When it runs out, Sell a pack adds another.
  • Membership: a discount on retail products, or a perk, valid 1 to 24 months or without end date. Staff activate it after payment and Check in at each visit.
  • Prepaid balance: clients top up, optionally with a bonus, and staff Charge against it. Some clients buy it as a present.
  • VIP levels by visits: for example a level after 15 visits with 10 % off products. It shows on the pass and on the scanner.

Packs, prepaid balances and gifts mean you hold clients’ money up front. That can fall under gift-card or e-money rules, so check with your accountant before you sell them. With Pro you can run several cards at once, for example a stamp card for nails and a pack card for facials.

How does stamping work during the rush?

The busy moment in a salon is Saturday, and weekday evenings after office hours, when one client is paying, the next is waiting and two technicians are mid-treatment.

Scan at reception at payment, while the client pays by Bancontact or Payconiq. If there’s no receptionist, the technician who did the treatment scans from her own phone with the staff role. The scanner shows “+1”, the client’s first name and progress, for example “Inès · 4/6”.

  • Several technicians: each invited by e-mail with the staff role, or one tablet at reception with a PIN login per person. Each stamp records who scanned it.
  • Two treatments, one visit: nails and lashes on the same afternoon. The cooldown, 5 minutes by default, stops a second stamp on one card; decide whether that’s one visit or two and set the cooldown accordingly.
  • Pack visits: staff tap Use 1 instead of stamping.
  • Mistakes: the owner or a manager corrects the card in the dashboard with Adjust stamps; the reason and who made the change are logged.
  • Reward: the client gets a lock-screen notification when the card is full. At the next appointment, staff tap Claim + add today’s stamp.

Seasonal and occasion ideas

  • February: Valentine’s Day. Couples’ treatments, gift top-ups.
  • May: Mother’s Day, second Sunday of May in most of Belgium. In Antwerp, Mother’s Day is traditionally 15 August, so plan a second wave there.
  • May to September: wedding season. Bridal nails, lashes, trial make-up.
  • Summer: pedicures and sandal season, waxing.
  • December: party nails, gel in festive colours, gift ideas.

What to send by push or e-mail

Push messages and e-mails are on Pro and only reach clients who ticked the news box. In a salon, a push is the fastest way to fill a gap left by a cancellation.

Example push messages:

  • Title: “Last-minute slot tomorrow” Text: “A slot opened at 10:00 tomorrow for nails or a brow tint. Book it in our app or give us a call.”
  • Title: “Mother’s Day gifts” Text: “Treat her to a facial or a prepaid balance to spend in the salon. Ask at reception this week.”
  • Title: “Your reward is ready” Text: “Your card is full: free nail art on your next infill.”

The “not seen in 30 days” audience fits nails and lashes well: 30 days without an infill usually means a client is late or has gone elsewhere. For facials on a monthly rhythm it’s borderline, so send to all clients instead.

E-mail idea: a “something new” e-mail with photos of the season’s nail colours or a new treatment, from your salon’s own address.

Common objections

“My booking app has its own loyalty.” It lives inside that app, and only works while you use it. Fidelia lives in the client’s phone wallet and stays if you change booking tool.

“I don’t want to give away treatments.” Reward add-ons and products, not full appointments. Packs on Pro even bring money in before the work is done.

“My clients already have my paper card.” A manager can add the stamps from paper with a correction and a reason, so nobody loses progress.

“I have international clients.” The card follows the client’s phone language: French, Dutch or English.

What does it cost?

Essential is €29 a month excl. VAT with one stamp card, unlimited clients and scans, and your first QR stand included. Most beauty salons go for Pro, at €59 a month, for packs, memberships, prepaid balance, VIP levels and last-minute pushes. You can try Pro free for 14 days.

For hair, see the hairdresser and barber page. For yoga or pilates studios with class packs, see gyms and studios.

Questions

Can I sell a pack of 5 facials on the card?

Yes, with a pack card on Pro (€59 a month). The card waits until staff tap Activate after payment, then Use 1 at each facial. You hold the client's money, so check the rules with your accountant.

My booking app already has loyalty points. Why add this?

Fidelia's card lives in Apple Wallet or Google Wallet with lock-screen notifications, and works whatever booking tool you use. If you're happy with your app's points, you may not need it.

Can clients give a treatment as a gift?

A prepaid balance card on Pro lets a client top up and spend later, which some salons use as a present. Prepaid money can fall under gift-card rules, so check with your accountant.

How many stamps for a nail salon?

With infills every 2 to 3 weeks, 6 visits is a common choice. You can set anything from 3 to 30, and a change only applies to new cards.

Your first stamp, tomorrow morning.
